Producer Guidelines

Follow these guidelines to make the most of your TerraMar profile and build strong connections with buyers across Asia.

1. Setting Up Your Profile

  • Use your real name or farm name — buyers value authenticity and transparency.

  • Upload a high-quality portrait photo (square format recommended).

  • Write a compelling story that covers your history, values, and what makes your farm unique.

  • Include altitude, climate, soil type, and farm size — these details matter to professional buyers.

  • Add a hero image that represents your farm or region (recommended: 1600 x 600px).

2. Product Listings

  • List every product you can supply, including variety names (e.g. 'Biloxi Blueberries', not just 'Blueberries').

  • Specify available seasons, minimum order quantities, and packaging options.

  • Upload clear product photos — natural lighting, no heavy filters.

  • Include all relevant certifications for each product (GlobalG.A.P., USDA Organic, JAS, etc.).

  • Keep listings up to date — remove products that are out of season or unavailable.

3. Certifications

  • Add both product-level certifications (e.g. JAS Organic, Fairtrade) and processing plant certifications (e.g. HACCP, BRCGS).

  • If you hold a certification not listed in our standard options, use the custom input field to add it.

  • Buyers in Japan, Korea, and Singapore often require specific certifications — the more you list, the more discoverable you become.

  • Keep certifications current. If a certification expires or is renewed, update your profile promptly.

4. Photos & Media

  • Upload at least 4 farm photos showing different aspects: fields, harvest, packing, team.

  • Avoid stock photos — buyers want to see the real operation.

  • If you have a farm video (YouTube or Vimeo), add the URL to your profile.

  • Photos should be well-lit and at least 1200px wide for best display quality.

5. Responding to Meeting Requests

  • Respond to meeting requests within 48 hours — prompt responses build trust.

  • If you accept, confirm the proposed date and time via the Message feature.

  • If you decline, consider sending a message explaining why and suggesting alternatives.

  • If you change your response (e.g. from Accepted to Declined), always notify the requester via Message.

  • Be prepared for meetings in English, Spanish, or Japanese. Interpretation support is available upon request.

6. Messaging Best Practices

  • Introduce yourself and your farm briefly when starting a conversation.

  • Be specific about what you can offer: volumes, timelines, logistics capabilities.

  • Respond to buyer messages within 24 hours when possible.

  • Keep communication professional — remember that messages represent your brand.

  • If a buyer requests samples, discuss logistics and costs upfront.

7. Profile Completeness

  • Aim for 100% profile completion — complete profiles receive significantly more buyer interest.

  • Check the progress indicator in your dashboard sidebar to see what's missing.

  • Profiles with stories, certifications, and multiple photos rank higher in search results.

8. Code of Conduct

  • Provide accurate information about your products, certifications, and capabilities.

  • Do not misrepresent product origins, quality, or certifications.

  • Treat all buyers with respect regardless of order size.

  • Honor commitments made through the platform — reliability is the foundation of long-term trade relationships.

  • Report any inappropriate behavior or suspicious activity to our team.
